What is a work order?

A work order—or work report—is the document that records a maintenance intervention: what needs to be done, on which asset, who performs it, and what the outcome is. It's the basic unit of maintenance management, because it's where hours, materials, and evidence are recorded. Everything else—cost per asset, machine reliability, customer cost—is calculated from work orders: if they aren't recorded properly, no report fixes it afterward.

Where information gets lost

Not in the work itself. In recording what was done.

  • Paper work reports that arrive at the office days later, or never.
  • Hours and materials written down from memory at the end of the week.
  • Photos on the technician's phone that never end up anywhere.
  • A customer disputes a job and there's nothing to show them.
  • Work completed but not invoiced because it wasn't recorded.

What a work order stores

Each section is filled in where the work happens, not back at the office.

  • Eight order types

    Corrective, preventive, routine, project work, meter reading, fixed rate, warranty, and leak. Each type has its own tab and activates based on what your company uses.

  • Your statuses, not ours

    You define the lifecycle: create the statuses your company uses and assign behaviors—which one assigns to a technician, which closes it, which emails the PDF, which locks editing—.

  • Real times

    Hours logged by technician, with a stopwatch in the app. Target time, estimate, and variance on the same form, which is what lets you know if you're quoting accurately.

  • Materials with batch numbers

    Consumption is charged against warehouse inventory and recorded on the order. The actual cost of the intervention and the consumption that justifies your stock come from there.

  • Inspections per asset

    The work order carries its checklists, one per equipment if needed, with anomaly logging. It's not a checkbox at the end: it's what proves what was inspected.

  • Signature and evidence

    Customer signature and, if you configure it, the technician's own signature, with optional geolocation. Photos, videos, and documents are linked to the order.

  • Public link with expiration

    Share a work order with someone without a user account, in read-only or edit mode, protected by password and expiration date. You can revoke it or create a new URL.

  • List that exports as-is

    Over fifty columns and filters by customer, asset, status, technician, dates, cost, or revenue. What you see is what comes out in Excel, CSV, JSON, or XML.

The statuses are yours

Most systems impose a locked lifecycle and then every company fights to fit theirs. GMAO CLOUD does the opposite: you create statuses with the names your team uses and mark behaviors. One assigns to the technician, another activates on signature, another automatically emails the work order PDF, another locks it for editing, another triggers export to the ERP. The result is the system speaks like your operation instead of forcing you to translate. Every status change is recorded in history, with its date and author.

In the field, without depending on coverage

The technician app saves work on the device and syncs when connection returns: a basement, warehouse, or elevator with no signal doesn't prevent closing an order. The technician sees their work orders for the period, can sort them by route with GPS, log time with a stopwatch, consume materials, complete checklists, attach photos, collect a signature, and download the PDF. They can also pick up unassigned work orders. The customer app, however, doesn't work offline: it's designed for viewing and requesting, which is different.

What your customer can do

From their own access, a customer views their work orders and details, downloads the work report PDF, uploads documents and images, opens issues, and requests new work. They can sign the report if you give them that permission. What they can't do is change a work order status: the lifecycle is governed by whoever provides the service, and that's intentional.

Preguntas frecuentes

Should technicians be able to create work orders themselves?

In most operations, yes, and it usually improves historical data quality a lot. Work that a technician solves on the spot while at the site for something else is real and has a cost, and if there's no simple way to record it, it disappears from the system. Another thing is that those work orders should be distinguishable from planned ones, so the split between expected and unexpected work stays clear.

What about work orders that stay open for months?

That's the first sign the circuit isn't closing properly, and it's worth looking at. Usually they're not actually pending work: they're work orders that were completed and nobody closed, or that depend on a part that never arrived and got stuck. A list of open work orders sorted by age is one of the most useful and least consulted reports.

Can I use my own statuses?

Yes, and that's how the product works. You create the statuses your company uses and assign behaviors: which one assigns to the technician, which activates on signature, which emails the PDF, which locks editing, or triggers export to the ERP.

Can a technician close a work order without connectivity?

Yes. The technician app saves work on the device and syncs when connection returns. The customer app doesn't work without connectivity.

Can you show a work order to someone without a user account?

Yes, with a public link. It can be opened in read-only or edit mode, protected with a password and expiration date, and you can revoke it or create a new URL.

Do hours and materials reach invoicing?

They're logged on the work order and can be sent to the ERP through available integrations, including Business Central, Navision, Holded, SAP, Factura Directa, QuickBooks, or STEL Order.

Does anyone get notified when a work order changes status?

Yes. Statuses can have an associated email, and there's a behavior that directly emails the work order PDF when that status is reached.
